Dutch for Inventory and Stock Control (Voorraadbeheer) - Counting, Records and Accuracy

A warehouse is only as good as its stock figures, and in the Netherlands those figures are checked with real discipline. Most businesses count their stock at least once a year, and the larger ones count continuously.

Stock control is the work of keeping the number in the system equal to the number on the shelf. It combines counting, recording and a constant search for the reasons when the two disagree.

The Words of Stock Control

Dutch termEnglish meaning
de voorraadthe stock
de inventarisatiethe stocktake
het voorraadbeheerthe stock record keeping
de hoeveelheidthe quantity
de boekingthe posting
het verschilthe difference
de controlethe check
de nauwkeurigheidthe accuracy

De voorraad is what the system believes is there, and the shelf is the truth. Every hour of stock control work goes into closing the gap between the two, and the Dutch word for that gap is the voorraadverschil.

Types of Stock

Dutch termEnglish meaning
de veiligheidsvoorraadthe safety stock
de minimumvoorraadthe minimum stock
het bestelniveauthe reorder level
de maximumvoorraadthe maximum stock
de dekkingsperiodethe stock cover in days
de onderhanden voorraadthe work in progress
de dervingthe shrinkage
de reservevoorraadthe reserve stock

The bestelniveau is the level that triggers a new order, and it is calculated from how long the supplier takes plus how fast the item sells. Veiligheidsvoorraad covers the unexpected, and too much of it is as expensive as too little.

The Annual Stocktake

Dutch termEnglish meaning
de jaarlijkse inventarisatiethe annual stocktake
de steekproefthe sample count
de tellingthe count
het telformulierthe count sheet
het telteamthe counting team
de hertellingthe recount
het verslagthe record
de goedkeuringthe sign-off

Two people count each location and neither may be the person responsible for it, because the check must be independent. Anything counted twice is recounted by a third person before the figures are signed off and the warehouse is released.

Systems and Records

Dutch termEnglish meaning
het voorraadsysteemthe stock management system
de barcodethe barcode
de scannerthe hand scanner
de correctiethe correction
de stamgegevensthe master data
de opslagplaatsthe storage location
de koppelingthe interface
de boekingssoortthe posting type

Master data decides how well a system works, because a wrong unit or a wrong pack size sends every later figure wrong. Corrections are therefore made by posting a new movement rather than by editing history, so that the trail stays readable.

Finding the Differences

Dutch termEnglish meaning
het voorraadverschilthe stock difference
de oorzaak van dervingthe cause of the shrinkage
het diefstalpercentagethe theft rate
de boekingsfoutthe posting error
het tekortthe shortfall
het onderzoekthe investigation
de correctieboekingthe correcting entry
het rapportthe report

A difference has a limited number of causes: goods booked in and never received, goods removed without a booking, wrong units, or theft. Working through them in order turns a frightening number into a specific, fixable problem.

Optimising the Warehouse

Dutch termEnglish meaning
de ABC-analysethe ABC analysis
de omloopsnelheidthe stock turnover
de dekkingsperiodethe stock cover
de opslagkostenthe storage cost
de ruimtebehoeftethe space needed
het orderpickenthe picking
de looptijdthe travel time
de KPIthe key performance indicator

An ABC analysis sorts items by value, so that the few expensive lines are counted often and the many cheap ones rarely. Moving fast-selling articles closer to the dispatch area cuts walking time, and walking time is one of the largest costs in a warehouse.

Working with the Numbers

Dutch termEnglish meaning
de analysethe evaluation
het percentagethe rate, the percentage
de vergelijkingthe comparison
de afwijkingthe deviation
de doelstellingthe target
de maatregelthe measure
de rapportagethe reporting
de verbeteringthe improvement

Dutch stock control is a numbers job, and each month the team receives a target for accuracy rather than for effort. A department that reaches ninety-nine per cent accuracy is trusted with more responsibility, and the figure is the argument in every request for new equipment.

Training and Career in Stock Control

Dutch termEnglish meaning
de opleidingthe training course
de extra kwalificatiethe additional qualification
het heftruckcertificaatthe forklift certificate
het voorraadsysteemthe stock management system
de analysethe analysis
de planningthe scheduling function
de teamleidingthe team leadership
het salaristhe salary

Stock control in the Netherlands is usually learned on the job, and a vocational qualification in logistiek covers it alongside work. A heftruckcertificaat and a certificate in a stock system are the two additions that most improve a starting salary.

The step from counting to analysis is the real promotion, because it turns a person who records numbers into one who explains them. Dutch employers look for comfort with a spreadsheet and the patience to check a figure twice before sending it.

From stock control the route leads to planning, where the same numbers decide what is ordered and when, or to teamleiding in a warehouse. Both roles use the vocabulary of voorraad, dekkingsperiode and omloopsnelheid every single day.

A strong stock controller is trusted with the annual inventarisatie from end to end, including the instructions given to the counting teams. That responsibility is the most common evidence used at a review to ask for a higher grade.

Dutch wages in this field rise with the technology involved, so experience of a modern voorraadsysteem is worth more than years of manual counting. Learning the language of the system is therefore an investment rather than an optional extra. If you want to read the system, the count sheets and the reports in Dutch, learn Dutch with the stock control vocabulary built into the course.

The bars show the order of the stages; each value is a sequence number rather than a duration.

Working in Stock Control in the Netherlands

Stock control is a route from the warehouse floor into planning and analysis, because it teaches the numbers behind the business. Employers look for care, patience and the honesty to report a difference rather than hide it.

The vocabulary is built from a small set of nouns and verbs that repeat every day: voorraad, boeking, verschil, tellen. If you want to learn Dutch for warehouse work, this is a compact set of words that opens a surprising number of doors.
