German for Finding a Flat (Wohnungssuche) - Viewings, Deposits and the Contract

Finding a flat in Germany is a competition, and the language you use in the first email often decides whether you are invited to the viewing at all. A short, polite message with the key facts about your job and your income works far better than a long one.

The vocabulary of renting is precise: a Miete is not a Nebenkosten, a Kaution is not a Provision, and the difference shows up in the contract you sign for the next few years.

The Words of Renting

German termEnglish meaning
die Mietethe rent
die Nebenkostenthe additional costs
die Kautionthe deposit
die Provisionthe agency fee
die Warmmietethe rent including utilities
die Kaltmietethe rent excluding utilities
der Mietvertragthe tenancy agreement
die Wohnungsbesichtigungthe viewing

Kaltmiete is the bare rent and Warmmiete is what actually leaves your account each month, with heating, water and rubbish included. German landlords quote both, so read the advertisement carefully before you compare two offers.

The Application File

German termEnglish meaning
die Mieterselbstauskunftthe tenant's self-disclosure
die Gehaltsnachweisethe proof of income
die Schufa-Auskunftthe credit report
die Mietschuldenfreiheitsbescheinigungthe confirmation of no rent debts
der Personalausweisthe identity card
die Arbeitsbestaetigungthe confirmation of employment
der Buergelthe guarantor
das Anschreibenthe covering letter

A complete file is usually three documents: proof of income for the last three months, a current Schufa report and a confirmation from your employer. Landlords rank applicants by the ratio of rent to net income, and a figure below thirty per cent is comfortable.

The Viewing

German termEnglish meaning
die Besichtigungthe viewing
der Terminthe appointment
die Konkurrenzthe other applicants
die Zusagethe acceptance
die Absagethe rejection
die Wartelistethe waiting list
die Nachfragethe enquiry
die Rueckmeldungthe reply

Viewings are often held in a slot of twenty minutes with several people at once, so arrive on time, ask two or three sensible questions and say clearly that you are interested. Follow up the same day in writing, because the landlord decides quickly.

The Deposit and the Costs

German termEnglish meaning
die Kautionthe deposit
die Mietkautionthe rent deposit
die Ratenzahlungthe payment in instalments
die erste Mietethe first month's rent
der Maklerthe estate agent
die Courtagethe agency commission
die Schoenheitsreparaturenthe cosmetic repairs
die Nebenkostenabrechnungthe annual statement of utilities

A deposit may not exceed three months' cold rent, and the law allows it to be paid in three monthly instalments. Since 2015 a tenant normally pays no agency commission when the agent is working for the landlord.

The Tenancy Agreement

German termEnglish meaning
der Mietvertragthe tenancy agreement
die Vertragsdauerthe term of the contract
die Kuendigungsfristthe notice period
die Staffelmietethe stepped rent
die Indexmietethe index-linked rent
die Untervermietungthe subletting
die Haustierhaltungthe keeping of pets
die Kleintierhaltungthe keeping of small animals

Most contracts run for an unlimited period with a notice period of three months for the tenant. Read the clauses on the stepped rent and on subletting, because both affect what you may do later.

Moving In and the Handover

German termEnglish meaning
das Uebergabeprotokollthe handover report
der Zaehlerstandthe meter reading
der Schluesselthe key
die Maengelthe defects
die Renovierungthe renovation
die Anmeldungthe registration with the authorities
die Hausordnungthe house rules
die Nachbarschaftthe neighbourhood

At the handover, walk through the flat with the landlord, note every scratch and take photographs. The protocol you both sign decides who pays for what when you eventually leave.

Problems and Your Rights

German termEnglish meaning
die Mieterhoehungthe rent increase
die Mietminderungthe reduction of rent
die Maengelanzeigethe notice of defects
der Mietervereinthe tenants' association
die Modernisierungthe modernisation
die Eigenbedarfskuendigungthe notice for the landlord's own use
die Mietpreisbremsethe rent brake
die Beratungthe advice

If something is broken, report it in writing and keep a copy of the letter. A tenants' association is inexpensive and answers exactly these questions, which makes membership the cheapest legal protection a tenant in Germany can buy.

Phrases for a Viewing

German phraseWhat it means
Ich habe einen unbefristeten Arbeitsvertrag.I have a permanent contract.
Die Wohnung gefaellt mir sehr gut.I like the flat very much.
Wann koennte ich einziehen? When could I move in?
Sind die Nebenkosten in der Miete enthalten? Are the utilities included in the rent?
Ich schicke Ihnen die Unterlagen heute.I will send you the documents today.
Wie hoch ist die Kaution? How high is the deposit?
Ist die Kueche mitvermietet? Is the kitchen part of the rental?
Vielen Dank fuer Ihre Zeit.Thank you for your time.

Speaking requires no passport, but a landlord who hears a clear sentence relaxes. Prepare three of these phrases before the appointment and use them without translating in your head.

Registering and the First Weeks

Once the contract is signed you have two weeks to register the new address at the Buergeramt, and the confirmation you receive is the document every bank, insurer and employer will ask to see.

The broadcasting fee arrives automatically a few weeks later, charged per household rather than per person, and it is due whether or not you own a television; the letter explains how to register and how to split the cost with flatmates.

Electricity, gas and internet are usually contracts of your own, and the meter readings from the handover protocol are what the suppliers use to open the account in your name.

Tell your employer, your health insurer and the tax office about the move, because the address on file decides where official letters arrive, and one lost letter can cost you a deadline.

In the first two weeks a small checklist saves a great deal of trouble: registration certificate, meter readings, bank account details, insurance card and the landlord's contact in one folder, ready for the next letter. The bars show the order of the stages; each value is a sequence number rather than a duration.

Finding a Home in Germany

The flat you want is often let to someone who has simply been faster and better prepared, so the process rewards clarity more than perfect grammar.

A complete folder, a calm viewing and a written follow-up the same day are the three habits that move you to the top of the list. If you want to learn German for the search itself, the words above are the ones that decide the outcome.

German renting has its own vocabulary of deposits, protocols and house rules. Learn German with the words of renting, viewings and the tenancy agreement.
