Dutch for Bookkeeping (Boekhouding) - Grootboek, Bonnen and the BTW Return

Dutch bookkeeping is administered by the Belastingdienst rather than by a separate commercial registry, and the tax authority's rules reach further into daily practice than newcomers expect. Every entrepreneur in the Netherlands must keep records, and the records must be able to answer a VAT question years later.

The vocabulary is therefore practical rather than theoretical. Terms like grootboek and bon appear in every working conversation, and the monthly BTW return sets the rhythm of the whole department.

The Words of the Numbers

Dutch termEnglish meaning
de boekhoudingthe bookkeeping
de boekhouderthe bookkeeper
de bonthe receipt or voucher
de boekingthe posting
de omzetthe turnover
de balansthe balance sheet
de winst-en-verliesrekeningthe profit and loss account
de administratiethe accounts as a whole

The Dutch word administratie covers both the records and the act of keeping them, so it appears far more often than boekhouding in daily speech. A bon is the paper evidence for a boeking, and the two are inseparable in a Dutch audit.

Het Grootboek and the Rekeningschema

Dutch termEnglish meaning
het grootboekthe general ledger
het rekeningschemathe chart of accounts
de grootboekrekeningthe ledger account
de balanspostthe balance sheet item
de resultatenrekeningthe income statement account
de kostenplaatsthe cost centre
het dagboekthe day book
de tussenrekeningthe suspense account

A Dutch rekeningschema is usually built by the accountant to fit the business rather than imposed from a national standard, so account numbers vary between companies far more than in Germany. The tussenrekening exists to hold an amount whose destination is not yet known, and a healthy ledger keeps its balance small.

Bonnen and the Paper Trail

Dutch termEnglish meaning
de bewaarplichtthe duty to retain records
de administratieplichtthe duty to keep accounts
het inkoopboekthe purchase ledger
het verkoopboekthe sales ledger
de factuurthe invoice
de orderbevestigingthe order confirmation
de pakbonthe delivery note
de vastleggingthe recording

Dutch tax law requires records to be kept for seven years, and a longer period applies to documents concerning immovable property. The Belastingdienst has been consulting on shortening the general period, so the practical rule is to follow the current guidance rather than assume the figure will stay the same.

Debiteuren en Crediteuren

Dutch termEnglish meaning
de debiteurenthe customers who owe money
de crediteurenthe suppliers to be paid
de vorderingthe receivable
de schuldthe debt
de vervaldatumthe due date
de betalingstermijnthe payment term
de openstaande postenthe outstanding items
de incassothe collection of payment

The debiteuren and crediteuren lists are read together, because the difference between them is the company's working capital. A Dutch bookkeeper works the openstaande posten weekly rather than monthly, since an overdue receivable is easier to collect while the customer still remembers the order.

Afschrijving

Dutch termEnglish meaning
de afschrijvingthe depreciation
de lineaire afschrijvingthe straight-line depreciation
het bedrijfsmiddelthe business asset
de gebruiksduurthe useful life
de restwaardethe residual value
de investeringthe investment
de kleinschaligheidsinvesteringsaftrekthe small-scale investment allowance
de investeringsaftrekthe investment deduction

Dutch depreciation is normally straight-line over the expected gebruiksduur, and the tax authority publishes guidance on the periods it accepts for common asset types. The Netherlands also offers a small-scale investment allowance, which lets a business deduct a percentage of qualifying investment from its taxable profit.

The BTW Return and the Monthly Close

Dutch termEnglish meaning
de btwthe VAT
de omzetbelastingthe turnover tax
de btw-aangiftethe VAT return
het btw-tariefthe VAT rate
de voorbelastingthe VAT you may reclaim
de maandafsluitingthe monthly close
de overlopende postthe accrual
de voorzieningthe provision

The Netherlands charges 21 per cent standard VAT and 9 per cent on a defined list that includes food, books and passenger transport, with a zero rate applying to exports. A business with low turnover may apply to be exempt altogether under the small-business scheme, which removes the return but also removes the right to reclaim input VAT.

Working with the Accountant

Dutch termEnglish meaning
de accountantthe accountant
het administratiekantoorthe accounting firm
de jaarrekeningthe annual accounts
de belastingaangiftethe tax return
de controlethe audit
de vragenlijstthe questionnaire
de toelichtingthe explanation
de volmachtthe mandate given to the adviser

Many Dutch businesses keep the daily bookings in house and hand the annual accounts and the tax return to an administratiekantoor. The handover is usually a quarterly pack of bonnen and bank statements, and a bookkeeper who numbers and reconciles that pack before sending it is worth more than one who simply forwards a box.

Bank, Betalingsverkeer en Afletteren

Dutch termEnglish meaning
het bankafschriftthe bank statement
de bankmutatiethe bank transaction
de overboekingthe transfer
de automatische incassothe direct debit
de machtigingthe direct debit mandate
de storneringthe reversal of a direct debit
de afletteringthe reconciliation
het betalingskenmerkthe payment reference

Afletteren, matching a bank transaction to its booking, is the daily discipline of a Dutch administration, and the betalingskenmerk is what makes it possible. A customer who quotes the invoice number in the reference is saving the bookkeeper a telephone call.

A stornering reverses an automatische incasso, sometimes months later, and it must be booked back at once because the money was never securely received. Dutch law gives the customer a long window to reverse a direct debit, which is why the machtiging is filed as carefully as the invoice. Anyone joining a Dutch administration should learn Dutch with the bon, grootboek and btw vocabulary first.

The bars show the order of the stages; each value is a sequence number rather than a duration.

Working in Dutch Finance

Dutch bookkeeping roles are advertised at MBO and HBO level, and the entry positions ask for accuracy, software familiarity and enough Dutch to read a bank statement and query an invoice. Experience with a common package is usually more valuable to an employer than a general accounting qualification.

The work is periodic and the vocabulary is bounded, which makes it a realistic target for a learner. If you want to learn Dutch for finance work, the bon, grootboek and btw vocabulary is the practical place to begin.
